Responsible for the coordination and administration of all benefit and retirement plans for the organization.  Serves as the subject matter expert and primary point of contact for employees as it relates to benefit and retirement questions/issues.  Works closely with benefit and retirement vendors and ensures good working relationships.  Coordinates annual Open Enrollment, annual retirement audit and quarterly retirement meetings.  Processes benefit/retirement changes, prepares reports, and reconciles billing.  Partners with manager in seeking out and developing benefit programs which will attract and retain outstanding employees and position Overlake as an employer of choice in the community


  • Administer all aspects of benefit programs assuring competitiveness, cost effectiveness and compliance with state and federal regulations.  Serve as the subject matter expert and primary point of contact for employee benefit questions and issues.  Benefits include but are not limited to:  medical, vision, dental, life, LTD, 125 Health and Dependent Care Reimbursement accounts and misc. voluntary benefit programs.
  • Work closely with benefit vendors and ensure good working relationships.  Prepare monthly insurance billings, ensuring accuracy and submit to benefits broker and other carriers in a timely manner.  Work with benefits broker as needed to reconcile insurance billings to payroll system withholding registers to ensure accurate deductions and liability postings.  Ensure Met Pay, GET College Savings, EAP and group legal monthly billings are submitted in a timely matter
  • Responsible for coordinating the annual Open Enrollment, which includes the annual Benefits Fair, annual health screening, changes to benefit rates, update of benefit booklets, communications, etc.  Partner with manager in the annual benefit renewal in determining changes and charges for the next plan year.  Manage vendor relationships and liaison with vendors regarding program expenses, utilization rates and customer service.  Continually seek out and develop process improvement and expense reduction opportunities.
  • Serve as the HRIS system expert as it relates to benefit plan and set-ups.  Process changes in benefits for employees such as adding or removing eligibility for benefits.  Process termination Employee ESC’s.
  • Plan and administer all aspects of the Overlake Hospital 403(b) retirement plan which includes serving as a member of the Retirement Workgroup, and serving as staff support for the Overlake Hospital Retirement Administrative Committee (RAC).  Prepare agendas, take minutes and maintain records for the RAC.  Counsel employees on retirement decisions, process retirements, maintain vested HR files, and ensure accurate data entry for payroll processing of 403(b) employee contributions.  
  • Approve and coordinate retirement rollovers, distributions and hardship withdrawal requests. Ensure accurate submittal of contributions to Fidelity website each pay period.  Process annual employer match and employer service contributions
  • Present benefits and retirement information to new hires during the weekly new hire orientation.  Manage new hire sign-ups.  Conduct annual audit of benefit eligibility.
  • Prepare and submit all legally required benefits and retirement reports such as ACA Annual Reporting and communication of SARs.
  • Work with auditors in ensuring a successful annual retirement audit.
  • Maintain the HR webpage for benefits, leaves and retirement.
  • Prepare annual Total Compensation Statements.
  • Contribute to HR policy and procedure development and administration.  Prepare notifications and correspondence regarding appropriate matters for leadership, staff, and others.
  • Represent the hospital in professional organizations.  Remain apprised of legal regulations relating to benefits and Human Resources to ensure company compliance.
  • Follow the policies, procedures, and practices outlined in the Code of Conduct and Organizational Ethics policy.  Report any business practice/compliance concerns according to organization policy.
  • Exhibit behaviors that support the organization’s Service Standards and Cultural Beliefs.
  • Other projects/duties as assigned.


  • Bachelor’s degree required.  Equivalent combination of education and related experience may be considered in lieu of degree.
  • Minimum of 5 years’ experience in employee benefits administration. 
  • Minimum 1-year experience in retirement plans. 
  • Experience in using HRIS systems. 
  • Experience working in healthcare/hospitals preferred. 
  • Additional experience in leaves, compensation or other HR areas desirable. 
  • PHR, SHRM-CP, SPHR or SHRM-SCP certification preferred

Exceptional verbal and written communication skills.  Good stand-up presentation skills.  Self-starter and the ability to work both independently and as part of a team.  Organized, analytical and detail-oriented.  Skilled in using all Microsoft Office Software.  Demonstrated experience using HRIS.  Strong knowledge of employment/labor laws pertaining to Human Resources, benefits and retirement.  Ability to prioritize multiple tasks simultaneously.
